EndNote: Sharing groups of references in EndNote Online

This software package for managing references (citations) is available free to Monash University students and staff. This guide has information about working with EndNote in the Monash University environment.

Sharing groups of references

It is possible to share a group of references with others, perhaps those with whom you are collaborating.

Any individual you share your group with must have an EndNote Online account and email address. Access to a desktop version of EndNote is not required and you can nominate if colleagues are to have 'read only' access or 'read & write' access.  Note: sharing of file attachments is not allowed however links to documents/articles can be shared.

1. Click the manage sharing button next to the group you wish to share

2. Enter the email address of the people you wish to share the group with. Note: the email address must match the email address they use for their own EndNote Online account.

3. Select whether your colleagues will have 'read only' or 'read & write' access  (Read and write access allows users to add and delete references to this group)

4. Click 'Apply'

Icons will be displayed next to groups that you have shared. Groups that have been shared with you will display an icon to indicate if you have permission to add and delete records in a group.

Working with Word when sharing groups of references

Working with Word using CWYW and EndNote Online is possible when sharing a group of references.

Users who only have access to EndNote Online will need to download the CWYW plugin from EndNote Online

Users who have EndNote desktop loaded will need to change the setting within Word to tell it to access the EN Online library rather than the desktop library.

Within the EndNote toolbar in Word select Preferences and the tab called Applications

Choose EndNote Web from the dropdown menu and select OK.
